Optimise Microsoft 365 Governance with Orchestry

Following the rapid adoption of tools such as MS Teams and M365 to facilitate remote working, many organisations have been scrambling to retrospectively apply data governance and control.

This is where Orchestry comes in. An Azure AD application, Orchestry provides organisations with a single, simplified interface for the management of Microsoft 365 applications such as SharePoint and MS Teams. Empowering IT administrators to maintain control, without imposing too many restrictions on users.

Rules surrounding the creation of teams and sites can be implemented, and any unnecessary provisioning managed. To prevent Teams sprawl and the duplication of teams, groups and sites, Orchestry ensures that existing assets are accessible to users through transparent governance strategies.

The Importance of Governance

Without proper governance, sprawl can cause a multitude of issues within an organisation, ranging from cost increases and wasted resources to security and compliance risks.

Furthermore, poor corporate governance can result in reduced productivity and efficiency, which in turn will have a detrimental impact on overall customer satisfaction.

Although Microsoft provides features which are designed to help minimise content duplication and enhance search functionality, organisations often require additional assistance, in particular with tools such as Microsoft Teams and SharePoint that are prone to sprawl.

The transparent governance capabilities provided by Orchestry not only combat sprawl but help foster both adoption and engagement across Microsoft Teams and SharePoint.

Comprehensive Microsoft Governance

Orchestry’s comprehensive interface delivers access to capabilities such as workspace management, naming conventions and custom metadata.

Workspace Management

With Orchestry companies can control the entire lifecycle and format of a Workspace.

A major issue associated with Microsoft Teams is abandoned teams with no owners. To combat this, Orchestry allows a minimum set of owners and members for each Workspace request to be specified. Additionally, default owners and members for a template can also be defined, ensuring that the company has total control over who is an owner of a workspace, promoting consistency.

Naming Conventions

Orchestry enables a simple group naming convention that is customisable per organisation. You can edit the name of the Microsoft Team, the underlying group, and the URL of the SharePoint site. Certain words can even be blocked from naming teams, so additional Azure AD premium licenses are not needed.

Naming conventions are vital to healthy discoverability across the organisation.

Custom Metadata

Custom metadata can be added to Workspace requests. The metadata is first added to Orchestry and then used to organise important information during the request process, which can then be displayed in the Workspace directory feature. This allows Workspaces to be searched and filtered quickly and efficiently.

In addition to workspace management, naming conventions and custom metadata, Orchestry also offers pre-built Workspace templates, email and platform notifications, and custom approval processes.

The Orchestry platform enables companies to maintain a balance between IT admin control and end-user customisation, streamlining governance policies and reducing the workload of IT administrators, potentially saving organisations tens of thousands of euros in both time and productivity.
